Subject: Notice to all school offices
The entire school office, moved into one system.
It is hereby informed that admissions, transfer certificates, fee receipts, report cards, attendance and payroll need no longer be maintained in seven different places.
ShalaERP maintains all of the above against one student record — on the office desk, and on every teacher’s phone.

8 modules. One record for every student.
Enter a student once. Fees, attendance, exams, certificates and staff records all read from that same record — there is no add-on to buy later. This is the sidebar your admin sees on day one; pick a tab to look inside.
Every student's record, from admission to transfer certificate
One profile per student carries classes, sections, roll numbers, guardians and documents through the whole academic year — and through the year-end promotion into the next one.
- Profiles with guardians, contact details, photos and uploaded documents
- Bulk import from Excel, so moving off spreadsheets takes an afternoon
- Section distribution, roll-number assignment and year-end promotion
- Transfer certificates, bonafide certificates and printable ID cards
Admin-only — configuration and sensitive pages stay restricted.
The four jobs this takes off your desk
The specific work that stops being work once all of it lives in one place.
- How it runs todayFee follow-ups run on memory and a notebook
- With ShalaERPThe defaulter list builds itself from live per-student balances, and every receipt is searchable.
- How it runs todayReport cards cost the staff room a fortnight
- With ShalaERPMarks import from Excel, the grading scale applies itself, and report cards print from your own design.
- How it runs todayAttendance registers reach the office days later
- With ShalaERPTeachers mark from a phone in period one — offline if the signal is bad — and the report is ready before lunch.
- How it runs todayLeave balances are argued about every March
- With ShalaERPQuotas, opening balances and approvals live in one place, so the balance is a number, not an opinion.
The dashboard, fees and report cards, in detail
See the whole school the moment you log in
The dashboard pulls attendance, fees, exams and staff into one view and flags what needs attention today — before it turns into a problem next week.
- Live KPIs for students, attendance, collections and staff
- Alerts for unmarked attendance, overdue fees and pending approvals
- Collection and attendance trends across the term
- Role-aware — a principal, an accountant and a teacher each land somewhere different
Collections you can see, control and defend
Every rupee traces back to a student, a fee head and a receipt. Concessions leave a record. The defaulter list builds itself.
- Per-student liability from structures and installments
- Receipts printed on payment, numbered your school's way
- UPI, cheque, cash and bank transfer recorded as payment modes
- Daily register for the day's collection, ready to reconcile
Marks entry on Monday, printed report cards by Friday
Set up the exam, collect the marks, read the analysis, and design the report card your school actually issues — CBSE-style grading included.
- Exam structures, datesheets and subject maximums
- Marks entry by class, or Excel import for the whole cohort
- Result analysis with subject averages, grade spread and toppers
- Drag-and-drop report card designer with live preview
Everyone sees only their own work
Your accountant does not need to open student records to collect a fee, and a teacher never reaches payroll. Each role gets its own workspace, and the limits are enforced on our server — not just hidden from the menu.
Full access, and the only role that configures anything. Sets up the academic year, defines fee structures and grading scales, and decides what everyone else can do.
Nothing — admin is the role that grants access to everyone else.
A real Android app, not a website in a wrapper
Teachers are not sitting at desks. ShalaERP ships a proper Android app, so the staff room runs from a phone — and attendance, the one screen that cannot wait for a signal, works without one.
- A real Android app
- Not a wrapped website. A native client with dashboards, students, attendance, fees, exams, notices, timetable and leave approvals.
- Attendance works offline
- Mark a class with no signal in the back block; it syncs the moment the phone reconnects. Marks and money never queue — those need a live server.
- Push notifications
- Leave approvals, notices and the attendance reminder reach staff on their phone instead of waiting for someone to open a browser.
- Every staff member's own space
- My Schedule, My Week, My Leaves and My Payroll — a teacher's own records, without going through the office.
Where student, fee and payroll data actually lives
A school ERP holds children's records and the salary bill. These are the four decisions behind that responsibility — worth asking any vendor about, not only us.
- 01Isolated per school
- Multi-tenant by design. Every record carries its school, and database-level row security enforces the boundary — not application code that could be bypassed.
- 02Access decided on the server
- Role gates run server-side on every page and every mutation. The interface hides what a role cannot use; the server refuses it regardless.
- 03Money changes atomically
- Fee collection, marks import and payroll runs commit in a single database transaction. A dropped connection mid-save cannot leave half a record behind.
- 04Reversible and traceable
- An audit log records who changed what and when. A recycle bin with undo means a mistaken delete is recoverable, not final.
The details generic software leaves you to work around
Most school software is translated into Indian schooling. ShalaERP starts there — which is why a transfer certificate is a feature, not a spreadsheet template someone in the office keeps updating.
- Nursery to Class 12, with sections, roll numbers and year-end promotion
- Fee heads, installments and concessions the way Indian schools already run them
- UPI, cheque, cash and bank transfer recorded as payment modes
- Aadhaar, PAN, IFSC and pincode validation where those fields exist
- Academic years, working days, holidays and CBSE-style grading scales
- Rupees with Indian digit grouping — ₹1,24,500, not ₹124,500
- Transfer certificates, bonafide certificates and ID cards on your letterhead
- Report cards and fee receipts printed the way your school issues them
Setting it up is our job, not yours
Setup is the part schools dread, so it is the part we do for you.
- 145 minutes
Walkthrough on your workflows
Not a generic demo. Bring your fee structure and a report card, and we map them to the product while you watch.
- 2Guided setup
We set your school up
Academic year, classes and sections, subjects, fee heads and grading scale — configured for you, with students and staff imported from your existing Excel sheets.
- 3Day one
Your team logs in
Admins, accountants and teachers each get their own workspace. Teachers install the Android app and mark attendance the same morning.
Straight answers, including the ones that are “no”
Still unclear on something? Ask on the walkthrough — we would rather tell you what the product does not do than have you find out in March.
Ask us directlyYes — a native Android app covering dashboards, students, attendance, fees, exams, notices, timetable and leave approvals, with push notifications. Attendance can be marked offline and syncs when the phone reconnects. The web app also installs to a phone or tablet home screen and runs on any browser.
Yes. Students and staff both import in bulk from Excel, and marks can be imported per exam the same way. Most schools move off their spreadsheets during setup rather than re-typing anything.
Yes. Transfer certificates, bonafide and other certificates, and printable student ID cards are generated from the student record — so the details on the certificate are the details in the system.
You define fee structures with heads and installments once. Collection runs against each student's live liability, a printable receipt is issued on payment with your own numbering format, and payment modes cover UPI, cheque, cash and bank transfer. Concessions, a daily register and a live defaulter list come with it. ShalaERP records payments — it is not a payment gateway and does not settle money itself.
Yes. The report card designer is drag-and-drop with a live preview, so the printed card matches what your school already issues — including CBSE-style grading, your grading scale, and your school's branding.
Only the roles you allow. Access is role-based and enforced on the server, not just hidden in the interface: an accountant reaches the operational fee pages but not student records, exams or payroll, and a teacher reaches neither. Fee structure and settings stay admin-only, and a handful of permissions — such as whether accountants may grant concessions — are toggles an admin controls.
Not today. ShalaERP is built for the people who run the school — admins, accountants and teachers. Staff can start a WhatsApp chat with a parent directly from a student record, but there is no parent portal and no bulk messaging.
It is recoverable. Deleted records go to a recycle bin with undo, and an audit log records who changed what and when. Fee collection, marks import and payroll runs commit as single database transactions, so an interrupted save cannot leave a partial record.
The academic setup and report card designer are configurable rather than board-locked, so CBSE, ICSE/CISCE, state board and IB/IGCSE schools all define their own subjects, exam structure and grading scale.
Pricing is published and depends only on your student count: ₹14,999 a year for up to 330 students, ₹24,999 up to 660, ₹39,999 up to 1,100 and ₹69,999 up to 2,200. Schools above 2,200 students are quoted individually. ShalaERP is not GST-registered, so no GST is added and the listed price is the final amount payable. Quarterly billing is available at a small premium. There is no setup or onboarding fee — configuration, Excel data import for students and staff, and staff training are included. Every module is included at every tier — no per-feature add-ons, no per-login charges and no separate charge for the Android app.
The children enrolled in your current academic year whose record is still active. A child who has left, or whose record you have deactivated, is not counted and not charged for — you keep their full record, you can still collect anything they owe, and you can still issue their transfer certificate. We check your roll on 31 July, 31 October and 31 January, show you the list of children counted, and ask you to confirm it. If you grow into a higher band we never re-price you mid-term: the difference is added to your next renewal and only for the months you were above the band. If you shrink, you move down at your next renewal.
